CRM Software Price in India (2026): What Will Your Business Really Pay?
How much should your business pay for a CRM?
Search for CRM software price and you will find free plans, monthly subscriptions and custom software with no public price tag. The right comparison is your first-year total, including setup, training and integrations.
This guide explains the main pricing models and the questions to ask before you buy a CRM for a small business, service company or manufacturer in India.
CRM software price in India: the three common models
| Option | Pricing method | Suitable when |
|---|---|---|
| Free or entry-level CRM | Free tier or low-cost plan with feature or user limits | A small team needs basic leads and follow-ups |
| Cloud CRM subscription | Usually a fee per user, billed monthly or annually | Your team needs ready-made pipelines, reports and automation |
| Custom CRM | Quoted development project, plus ongoing hosting and support | Your processes need specialised quotations, approvals or integrations |
For a real published example, Zoho CRM's India pricing page displayed a free edition for up to three users and, with annual billing selected, Standard at ₹800, Professional at ₹1,400, Enterprise at ₹2,400 and Ultimate at ₹2,600 per user per month when checked on 28 September 2026. Local taxes are additional. These are Zoho's list prices, not prices charged by Ahmedabad IT Services; verify the plan at purchase.
Freshsales' official pricing page displayed Growth at $9, Pro at $39, and Enterprise at $59 per user per month, billed annually, on the same date. Its displayed prices are in US dollars. Check the checkout currency, taxes, add-ons and available billing terms directly with the vendor.
A custom CRM has no dependable universal price. A developer must review your workflow before preparing a useful quote.
Quick answer: what budget should I plan?
For a cloud CRM, multiply the actual quoted per-user rate by the number of licensed users and the billed months, then add tax and any implementation charges. A free plan can be adequate for a very small team, but its limits should be tested against real tasks. A custom CRM should be estimated against a written feature list and support agreement, not a generic online range.
Example for a five-person team
| Licence calculation only | Result | What this excludes |
|---|---|---|
| Zoho CRM Standard at ₹800/user/month, annual billing | ₹4,000/month equivalent; ₹48,000 for 12 months | Tax, setup, add-ons, migration and training |
| Zoho CRM Professional at ₹1,400/user/month, annual billing | ₹7,000/month equivalent; ₹84,000 for 12 months | Tax, setup, add-ons, migration and training |
These examples use the Zoho list prices checked on 28 September 2026. They do not represent a quote from Ahmedabad IT Services or an assurance that a specific plan covers your requirements.
What is the real first-year cost?
First-year cost = licences + setup + data migration + integrations + training + add-ons + applicable taxes + support outside the plan.
For example, five users at a published price of ₹800 per user per month produce a base licence calculation of ₹48,000 for 12 months (5 × ₹800 × 12), assuming that rate and annual billing. This is an illustration, not a complete vendor quote. Setup, taxes and optional services could increase the total.
Ask how much is payable upfront and what renewal will cost. A "per month" price may still be billed for the full year.
One-time costs versus recurring costs
| One-time or project costs | Recurring costs |
|---|---|
| Process mapping and configuration | User licences and plan renewal |
| Data cleaning and migration | Hosting and backups for a custom build |
| Custom forms, reports and quotation templates | Messaging or API usage |
| Initial integrations and team training | Maintenance, support and upgrades |
Ask for a quote that separates these columns. It becomes much easier to compare a lower licence fee with a higher setup fee against a higher licence fee with more included features.
Six factors that change your CRM budget
1. Number of users
Confirm who needs a licence: sales staff, managers, administrators and occasional viewers. As your team grows, per-user pricing increases the total.
2. Features and quotation workflow
Recording a lead and setting a reminder is simpler than preparing technical quotations, tracking revisions and approving discounts. For manufacturers, these details can determine the plan or scope needed.
3. Integrations
Website forms, email, WhatsApp, accounting software and ERP connections may require separate subscriptions, usage charges or development work. Request a line item for each connection.
4. Existing data
Customer information spread across spreadsheets and phones may need cleaning before import. Duplicate records and missing details can add implementation time.
5. Training and adoption
The CRM only helps when the team records enquiries and updates follow-ups. Check whether onboarding, process documentation and training are included.
6. Ongoing support
For a custom CRM, clarify the cost of hosting, backups, security updates, bug fixes and later feature requests. For a subscription, check support levels and any extra storage or automation limits.
7. Data ownership and exit
Before buying, confirm how you can export customers, notes, quotations and attachments. Ask what happens to your information if you cancel a subscription or move away from a custom system. Portability affects the long-term cost of the decision.
Subscription CRM or custom CRM?
A ready-made subscription often suits a team with a conventional lead pipeline and standard reporting needs. Test it using your real enquiry and quotation examples before committing to a larger plan.
Custom development may make sense when your business needs product specifications, multi-stage approvals, dealer pricing or connections to existing software. For example, an Ahmedabad machinery manufacturer might need drawings attached to enquiries, technical approval before a quote goes out, and a record of every price revision. Write these requirements down before asking for an estimate.
Do not pay for a long list of imagined features on day one. Start with the process currently losing the most time or enquiries.
CRM price examples for different business needs
A three-person service business: Start by testing a free or entry-level product with real customer enquiries. If shared dashboards, multiple pipelines or automation are missing, price the next tier for all three people and check migration effort.
A ten-person sales team: Compare the annual cost across all required users. Define which managers need full access and test reporting, permissions and mobile use before committing. A per-user price can change the total considerably as the team expands.
A manufacturer with technical quotations: Write down how an enquiry becomes a quote and order. Include drawings, product specifications, quote revisions, approvals and handoff to accounts or ERP. A low-cost lead tracker may not cover this process; a full custom build may also be unnecessary if configuration works.
These are workflow examples, not promises about what a particular vendor plan includes.
How to request a meaningful custom CRM estimate
Send a prospective developer a sample of your current enquiry form, quotation, follow-up sheet and monthly report. State the approximate number of users, their roles, required integrations and whether old data must be migrated. Ask the developer to specify:
- Modules included in the first version and features deferred;
- User roles, approvals, reports and quotation rules;
- Integrations, including responsibility for third-party accounts and charges;
- Project timeline, acceptance criteria and training;
- Hosting location, backups, security responsibilities and data export;
- Warranty, ongoing support, maintenance and the process for new changes.
This gives you an estimate you can review and compare. Any final price should follow an audit of the real workflow.
Questions to ask before accepting a CRM quote
- Is the quoted price per user or for the whole business?
- Is billing monthly or annual, and how much is due upfront?
- Which features, storage and automations are included?
- Are setup, data import and staff training included?
- Are WhatsApp, website and ERP integrations included?
- Are message or API usage charges separate?
- Who owns the data, and can we export it?
- What are the renewal and ongoing support costs?
- What happens to the price if our team doubles?
Compare proposals using the same requirements and first-year total, rather than the advertised monthly figure alone.

FAQs
Is free CRM software enough for a small business?
It can be if your team needs simple contact management and follow-up tracking. Check limits on users, features and exports before relying on a free plan.
How much does custom CRM software cost in India?
There is no credible fixed amount without a scope. User roles, quotation logic, integrations, migration, hosting and support all affect the estimate. Ask for an itemised proposal.
Are WhatsApp charges included in a CRM subscription?
Do not assume they are. The integration, service provider and message usage may be charged separately. Ask the vendor to show each cost.
Which CRM cost should I compare: monthly or yearly?
Compare the first-year total and expected renewal price. Include licences, implementation, add-ons and taxes.
